My sister-in-law booked me to photograph her company’s holiday party next weekend. Initially, it was 0 for 3 hours. She gets full rights to use the images in corporate related internal stuff. Couple of things-
- they are setting up a formal photo area that I’ll be expected to man when people want their (senior prom-esque) photos. Backdrop and giant holiday props included- i am now working 5 hours and haven’t heard the $ number go up.
- the employee’s will get to review the photos online and get copies of them from my sisterNlaw.
- there will be formal group shots of the corporate leaders / groups
My skillz? Good enough to get paid weekly for prints being sold, and have done weddings with great results. I’m not a hack, but I’m not paying bills with my photo $.
Bottom line- I don’t want to get abused on this deal. What to charge for the 5 hours? How to handle the licensing?
Note: I’ll be shooting with a 430EX Flash and one of several diffusors that earned my respect at the last wedding I shot.

If they have increased the time then increase the fee by 50 for each extra hour you are required.
The rights for company use in their intranet, internal mags. etc can be included in that fee if you are supplying digital files.
If they plan on using for external publications then negotiate for that separately
For the individuals buying prints then they should be charged separately per print. Ensure that your license/contract states that and that the company cannot supply the individuals with prints.
If the company want you to supply the individuals at no cost to them or that they will give the individuals the files then really it depends a lot on how many people will be there.
If there are a lot and you would normally expect to make a reasonable amount from selling individual prints then make an estimate of what you would get and add that to your fee with a % over to cover the admin.

You could either assign copyright of everything to them (if the shots are unlikely to be of further use to you)and charge them substantially for that or assign rights of all pictures to them for that usage.
Either way ensure that you receive an amount that is at a minimum what you would expect if selling a single print to each member of the party.
If there are a lot of people there then you will need someone to do the admin side when doing the formal shots (i.e. taking names/depts etc).

You need a written agreement about the time going over and other details. Meet and discuss it.

You will need an assistant to keep track of the people you are photographing and take orders.
The company is paying for your time.
Those who want photos are paying for the photos … two separate deals.
Call around and see what other event photographers are charging for the prints they sell …. use that as a guide
